What an EHO assesses
Under the Food Hygiene Rating Scheme, the officer scores three areas, which combine into your 0–5 rating:
Hygienic food handling
How you prepare, cook, cool, reheat and store food — the practices that keep food safe day to day.
Cleanliness and condition of the premises
The structure and state of the building: layout, ventilation, pest control, and how clean and well-maintained everything is.
Confidence in management
Whether you can show food safety is managed and recorded — your system, your records, and that staff know what they’re doing. This is where paperwork lives or dies.
The records to have ready
Most of “confidence in management” comes down to producing the right records without a scramble. This is the proof pack an officer is likely to ask for:
- Fridge, freezer, cooking, hot-holding and cooling temperature records
- A documented cleaning schedule, signed off
- Allergen information for every dish, accurate to your current menu
- Delivery records — supplier, date and condition on arrival
- Your HACCP plan or Safer Food, Better Business (SFBB) pack, current
- Staff training and allergen-briefing records
- Pest control records and any recent visit reports
- Fitness-to-work / return-to-work records for staff
Where scores usually slip
For kitchens that are genuinely clean, a lower rating almost always traces back to the same handful of things: temperature logs with gaps, allergen information that’s out of date against the current menu, a cleaning routine that happens but isn’t documented, or no HACCP/SFBB plan to hand. None of these are about how you cook — they’re about whether the system is visible. Close those gaps and you close most of the distance between a 3 and a 5.

How is my food hygiene rating calculated?
Under the Food Hygiene Rating Scheme (FHRS), an officer scores three areas — hygienic food handling, the cleanliness and condition of the premises, and confidence in management — and those combine into a 0–5 rating. Weak records drag down the "confidence in management" area even if the kitchen itself is spotless.
Can I improve my rating after a bad inspection?
Yes. Once you’ve made the improvements, you can ask your local authority for a re-visit to be re-rated, and you have a right to reply that’s published alongside your rating. No tool can guarantee a score, but fixing the records gaps is usually the fastest lever.
Do inspectors accept digital records?
Yes — there’s no requirement for records to be on paper. An inspector needs accurate, current, complete records in whatever form. Digital records are often quicker to produce on the spot and harder to lose.
