The paperwork happens at the worst moment

Probe readings and cooling checks land in the middle of service. If recording them means walking to the office for a folder, they get done later from memory — or not at all.

The underlying method is the same one the FSA expects: a food safety management system based on HACCP principles, usually via Safer Food, Better Business, kept alive by the daily records. A digital food safety management system does not change what you have to do — it changes how much of your day it takes and how quickly you can prove it.

Frequently asked questions

Do UK restaurants legally have to keep food safety records?

You must have food safety management procedures based on HACCP principles (retained Regulation 852/2004), and be able to demonstrate them. In practice, for most independent restaurants, that means the SFBB safe methods plus the daily records — temperatures, cleaning, and corrective actions — that show the plan is actually being followed. How long do I need to keep the records for?

There is no single statutory retention period for every record type, but inspectors typically want to see recent history — commonly around three months of daily records — and the FSA advises keeping them for as long as they are relevant to the food you are producing. Digital records are easier here because nothing gets lost or water-damaged.

Can my whole kitchen team use it, or just me?
